QuotaGest

Organisation & background

QuotaGest was created in 2011 by Paulo Mota as a Windows desktop tool, publicised through the Portuguese tech blog Pplware. It moved online in 2015 and is run by a two-person team in Mealhada, on its fifth major version.

Functionality

QuotaGest is a membership and dues-administration platform for associations, clubs and sports collectividades, covering the full member lifecycle from sign-up through dues billing to event and asset management across an admin back office, a member self-service portal and public sign-up/voting pages. It offers configurable member cards, GDPR consent tracking, and asset/equipment lending with a loan-return workflow, alongside recurring monthly-fee templates with automatic and bulk dues posting and overdue-payment reminders on several configurable triggers. Groups, classes and event/calendar management support online registration, and a built-in simplified-accounting module is scoped to Portugal’s small nonprofit cash-basis regime.

Localised features

Simplified cash-basis accounting for Portugal’s ESNL, nonprofit tax regime, producing Modelo 25 and 46. IfThenPay/EuPago integration handles Multibanco/MB WAY dues collection, and it integrates with certified invoicing platforms, Vendus, TOConline, Moloni, Fact.PT, and WeoInvoice, since QuotaGest itself isn’t certified by AT, Portugal’s tax authority.

Implementation model

Self-service with light vendor help: a 15-day trial, an hour of onboarding training, and phone, email and remote support from the two-person team. Bespoke development is available on request.

Hosting

Cloud-hosted by the vendor (dedicated server included on all plans).
