This policy explains how DataSystematic collects, uses, and protects your personal data when you visit datasystematic.com, join our mailing list, buy or use our courses and templates, or engage us for consulting services.
DataSystematic is UK-based, and is the data controller responsible for your personal data.
What personal data we collect
- Mailing list subscribers: name and email address, and engagement data such as opens and clicks, via our email platform, Brevo.
- Course and template buyers: name, email address, purchase history, and account activity, via our learning platform, LearnWorlds (an EU-based company).
- Charity/team pricing declarations: where you self-attest to charity or in-house team status for discounted pricing, we record that declaration and may periodically check it against your account’s email domain.
- Consulting clients: name, contact details, business details, and any information shared during the course of delivering consulting services. This may be processed using a range of tools, which could include invoicing or accounting software, CRM, scheduling, or video conferencing tools, or may simply be handled via direct email correspondence, depending on the engagement.
- Website visitors: if you consent via our cookie banner, we collect analytics data through Google Analytics, including pages visited, approximate location, device type, and how you found the site.
- Contact form submissions: name, email address, and message content.
Why we use your data (legal basis)
- To provide the courses, templates, or consulting services you’ve engaged us for (performance of a contract).
- To send marketing emails if you’ve subscribed, which you can unsubscribe from at any time (consent).
- To understand how our website is used (consent, via cookie preferences).
- To meet legal obligations, including tax and accounting records (legal obligation).
- To verify charity/team pricing declarations and prevent misuse of discounted pricing (legitimate interest).
Who we share your data with
- Brevo (email marketing platform)
- LearnWorlds (course hosting)
- Google Analytics (website analytics, only after you consent)
- Our web hosting provider, which processes basic technical data such as server logs
- Payment processors, for handling transactions
- Tools used to support consulting engagements, which may vary by client and are not fixed in advance
We do not sell your personal data to third parties.
International transfers
Most of our service providers, including Brevo and LearnWorlds, store data within the EU. Transfers from the UK to the EU are recognised as low-risk under UK data protection law. Google Analytics is certified under the UK Extension to the EU-US Data Privacy Framework (the “UK-US Data Bridge”), a government-recognised mechanism for transferring personal data to the US. Our web hosting provider also maintains UK GDPR-compliant data transfer terms.
Cookies
Our website uses cookies. Essential cookies keep the site functioning. With your consent, we also use analytics cookies to understand how visitors use the site. You can manage or withdraw consent at any time via the cookie settings link in the site footer.
How long we keep your data
We keep personal data for as long as you remain active with us, and for 6 years after your last activity (for example, a purchase, a consulting engagement, or the last time you opened a marketing email). After 6 years of inactivity, we delete or anonymise your data, except where we’re legally required to keep records longer (e.g. for tax purposes).
